DATA AND PRIVACY POLICY

Your privacy is important to us and as such we are committed to safeguarding your personal details (as defined by the European General Data Protection Regulation known as GDPR). Personal data is defined as relating to a living individual who can be identified from that data. Personal data includes: your name, address and telephone number.

The Woldingham Magazine Limited (herein after referred to as 'The Magazine’) is the Data Controller. As such, The Woldingham Magazine decides how your personal data is processed and for what purposes.

To comply with our obligations under the GDPR, The Magazine makes all attempts to keeping your personal details up to date, by storing and destroying it securely.

The Magazine as Data Controller processes data that you, our subscriber provide to us. This “transaction data” includes your contact details and is processed for the purpose of supplying The Magazine to you via our road distributor or through the post, once your annual fee is received. The legal basis for this processing of your data is for the performance of a contract between The Magazine and you and/or taking steps, at your request, to enter into such a contract.

The Information Commissioner’s Office (ICO) is the UK’s independent authority set up to uphold information rights in the public interest, promoting openness by public bodies and data privacy for individuals. There is a self-assessment questionnaire published on the ICO website to allow small organisations to determine if there is a requirement for them to register with them. It shows that the The Magazine is not required to register.

The Magazine produces and prints an annual publication entitled The List of Subscribers. We can only process personal data that you provide and give consent to include within our List of Subscribers. As a subscriber, you must, in writing, expressly provide consent, in advance, to our use of your personal data for inclusion in our Annual List of Subscribers.

Your personal data is treated in strict confidence and will only be shared with other subscribers. Again, please note that it is only after The Magazine receives a completed and signed consent form from you that we can include your personal data within The List of Subscribers. Thus, The Magazine only shares your data with third parties only with your consent. Should The Magazine not receive a consent from you, none of your personal details can be included within the annual publication.

Our Annual List of Subscribers is printed during the months of November and December, to ensure its delivery with our January edition. Up until that date, you can exercise your right to either include or withdraw consent on the publication of all, some or none of your details.

To compile the data for our Annual List of Subscribers, your personal data is included and processed within an encrypted database, residing on a secure data server. One Member of our Editorial Committee is responsible for the input and correction of electronically held personal data. Once the database for the List of Subscribers have been verified by the consent forms and deemed to be in correct order, only then is it passed in encrypted form electronically to our printers.

The terms of our contract with our Printers, include their having a contractual obligation to ensure the safety of all our files including, but not limited to, the subscriber database which is the basis for our Annual List of Subscribers. Within the terms of that agreement, the printers manipulate our electronic files at our instruction, so that the information within can be printed in its current form.

We cannot prevent the use (or misuse) of such personal data by others. The Magazine, therefore is unable to control, or be responsible for, any subsequent dissemination of the data contained within the list once it has been circulated.

If Data Policy changes are required, The Magazine may update this policy from time to time by publishing a new version within our Magazine and on our Website (WoldMag.co.uk). We therefore ask that you check such announcements to ensure you are happy with any changes made to this policy.

We have summarised some of your rights under the new GDPR. Some of the rights are complex, and not all of the details have been included in this Statement as they may not apply to our specific situation.

Accordingly, you should read the relevant laws and guidance from the ICO for a full explanation of these rights. The Woldingham Magazine and its monthly and annual publications are owned by The Woldingham Magazine Limited, a Company Limited by Guarantee and registered in England and Wales, Company Registration Number 5771322.
